Following are the most common problems users may encounter at year-end. The problem description along with its resolution are shown here:

PAS2000 2016 Date Issue:
Cannot enter transactions dated into 2016 because it says, "Date entered must be less than current year," or similar wording. Your PAS2000 system will require the PAS Y2K Update which was issued in March 2015. Please contact us to order. Failure to apply this update will result in posted transactions showing up as “1916.”

Cannot upload Magnetic W2 file:
If you are uploading your W2 file using Internet Explorer, the SSA website will only accept files that are being uploaded from Internet Explorer version 6 or below. This is applicable for 2008 tax year reporting.

RealWorld 2008 Date Issues:
Cannot enter transactions in 2008 because it says, "date entered must be less than current year," or similar wording.

Solution: Go to the CTL, Company Information selection. On the second screen, Field 4. "Year 2000 Cutoff". (The field number and language may vary by RealWorld version.) This field should be set to "16" or some year beyond 07. Making this simple change will extend your system viability to the year 2016, or to whatever year is in this field. Please note that the "Year 2000 Cutoff" field is a protected field, which means that you may need to press the "F2" key to allow access to change this field. If you need further assistance with this common issue, please call our support line at (727) 781-0035.

File error 39 on Void check file - (Payroll for CounterPoint only):
This error will happen if you have not initialized a new Void check file and Void check hist file after installing your 2005 year end update. Using prinit, select "Y" for files 23 and 24 to correct this error. Please note that this procedure must be done for all companies using the Payroll package.

My Payroll reports still print Employee's Soc Sec after installing 2005 year end:
You must set the Payroll control information flag "Omit SS on checks and report" to be either "N", "Y" or "L". "N" will print SS numbers as always, "Y" will omit SS numbers all together and "L" will only print the last 4 digits.
Please note that official forms such as W2s and 1099s still print as before. These functions should be protected with a password to protect employee information.

Tell me more about these new Employee privacy rules:
Many States have began regulating how employers handle Employee data in order to curb Identity theft. Social Security number protection is primordial in that effort and the 2005 update handles this requirement. However, there are still quite a few ways by which a malvolent individual can abuse your system if you do not take basic precautions. To that effect, we have been recommending that our users password their entire Payroll systems - call CSE support for help on doing this.

File Error on EMPFAU??
This file error is common when you are using multiple companies within RealWorld. If you get the above file error, you must use the Payroll Initialization function, (prinit) to initialize the Employee Federal Auxiliary and the Employee State Auxiliary files for each company that uses the Payroll module. Caution: This function will wipe out data. Do not initialize any other data files, except the 2 aforementioned data files. A copy of these initialized files for EMPFAU00 and EMPSAU00 were included on the tax update for Company 00 only.

File Error on EMPSAU??
This file error is common when you are using multiple companies within RealWorld. If you get the above file error, you must use the Payroll Initialization function, (prinit) to initialize the Employee Federal Auxiliary and the Employee State Auxiliary files for each company that uses the Payroll module. Caution: This function will wipe out data. Do not initialize any other data files, except the 2 aforementioned data files. A copy of these initialized files for EMPFAU00 and EMPSAU00 were included on the tax update for Company 00 only.

File Error on TAXMNT or TAXLST File (Tax Tables File)
If you get this file error, you may be missing the 2002 or 2003 year-end tax update. The tax code tables file was changed in 2002 to expand specific field sizes. Please contact our office to order the 2003 "backyears" update which will include this change. It can be promptly emailed to you. Once the 2003 "backyears" update has been installed, then re-install the current tax updates again.

File Error on PRTCHK (PRINT CHECK) File
If you get a conflict error on the Print Check File, you may be using a specialized version of the payroll check printing program. You will need to restore the backup copy of this program so that your system will retain its custom check printing feature. A backup copy of this program should reside in the \PROBJ sub-directory, renamed with a "03" extension.

Payroll Check Printing custom print features are no longer available
If you find certain aspects of your payroll check printing function have been lost, you may be using a specialized version of the payroll check printing program. You will need to restore the backup copy of this program so that your system will retain its custom check printing functionality. A backup copy of this program should reside in the \PROBJ sub-directory, renamed with a "03" extension. (For example: CHKPRT.03) Go to the RealWorld top-level directory, then change to the \PROBJ sub-directory. Locate the backup copy of CHKPRT.03 along with the new CHKPRT.GNT program(s). You will need to rename these programs back to their proper extensions names. Save the new program(s) first by renaming them with a "04" extension. Then rename the backup "03" version to its proper GNT (and/or G01) extension. Contact CSE Inc. as needed for assistance.
